How does SchedulePop Handle Unpaid Break Time?

SchedulePop includes an optional feature that automatically deducts a 30-minute break for every 8 hours worked. This setting is configured at the location level, meaning it can be enabled independently for each facility or site within an account. When active, this feature ensures that break time is consistently reflected in labor cost calculations without requiring manual adjustment from schedulers. The deduction is made to both the scheduled Budget and the HPPD (Hours Per Patient Day).

 

When to Use This Feature

  • Labor costs appear overstated because unpaid break time is being counted as paid hours.
  • The company's policy requires a 30-minute unpaid break for every shift of 8 hours worked.
  • HPPD calculations need to reflect a 30 min break for every 8 hrs worked.

Once this feature is enabled the a 30 min break will be automatically deducted from shifts spanning 8 or more hours in the following reports: 

Budget Report and Budget Data Bar Calculations 

When the break deduction is active, the Budget Report will subtract 30 minutes from the total scheduled hours for any shift at or above 8 hours. This results in a more accurate reflection of actual paid labor hours, reducing the projected labor cost for those shifts.

HPPD Report and HPPD Data Bar Calculations 

The HPPD (Hours Per Patient Day) Report calculates staffing intensity relative to patient census. With the break deduction enabled, the hours used in this calculation will represent true worked hours rather than gross scheduled hours, resulting in a more precise HPPD figure.

Important Notes

  • Location-specific: This setting must be enabled individually for each location. Enabling it for one location does not affect others within the same account.
  • 8-hour threshold: The deduction applies only to shifts that are scheduled for 8 hours or more. Shifts under 8 hours are not affected. 
    • If a shift spans 16 hours, 2- 30 min breaks will be deducted (i.e. 1 hour)
  • Automatic and consistent: Once enabled, the deduction is applied uniformly to all qualifying shifts without manual intervention from schedulers.
  • Reversible: The feature can be toggled off at any time by a Client Success representative if the account manager requests a change.
