How Do I Assign or Reverse a Callout or No Call No Show (NCNS) to a Shift in Staff View?

Managers can assign a Callout or No Call No Show (NCNS) status directly from the shift card in either Staff View or Monthly View on the Schedule Tab. When applied, the system generates a red Callout/NCNS card associated with the staff member and updates the shift status accordingly. Below you will also find a workaround to remove this red Callout/NCNS card if needed.

 

 

Assigning a Callout or No Call No Show to a Shift

Step 1: Open the Shift

  • Navigate to Staff View or Monthly View

  • Click on the shift card for the staff member

Step 2: Update the Status

  • Locate the Status dropdown

  • Select either:

    • Callout, or

    • No Call No Show (NCNS)

Step 3: Select an Action

Under the Action dropdown, choose one of the following:

  • No Action at This Time

  • Notify Available Staff

  • Schedule a Staff Member

If you select Schedule a Staff Member, you must:

  • Choose the replacement staff member from the dropdown provided

Step 4: Add an Optional Note

  • Enter a note or reason for the callout/NCNS (optional but recommended for record-keeping)

Step 5: Save

  • Click Save

What Happens Next?

  • A red Callout or NCNS card will appear associated with the staff member.

  • The original shift will move into a Callout/NCNS status if:

    • You selected No Action at This Time, or

    • You selected Notify Available Staff

If you scheduled a replacement staff member, the shift will reflect the new assigned staff member and the shift will no longer be visible on the original staff members schedule.

Workaround: Removing a Callout/NCNS Card IF the Staff Member Can Work After All

In some cases:

  • A manager assigns a Callout status

  • The red Callout/NCNS card appears on the staff member’s schedule

  • The original shift is reassigned, deleted, or picked up

  • Only the red Callout card remains on the staff member’s record

If the staff member later confirms they can work, follow the steps below to restore the shift and remove the Callout/NCNS card.

Step-by-Step Workaround

Step 1: Re-Schedule the Staff Member

  • Navigate to the correct staff member and date

  • Schedule them again for the same shift they originally called out from

Step 2: Publish the Schedule

This is very important.

To publish for a single user:

  • Go to Staff View

  • Click the three vertical dots in the User Cell

  • Select Publish Schedule Changes

This ensures the shift appears again on the staff member’s side.

Step 3: Reset the Status

Now:

  1. Open the newly scheduled shift

  2. Change the status to:

    • Callout or NCNS

  3. Select:

    • No Action at This Time

  4. Click Save

Step 4: Set the Shift Back to Scheduled

  1. Open the shift again

  2. Change the status to:

    • Scheduled

  3. Click Save

This action will remove the red Callout/NCNS card from the staff member’s record.

Important Notes

  • Always ensure schedule changes are published, especially if correcting a callout.

  • The system requires the shift to exist again before the Callout/NCNS status can be properly cleared.

  • This process ensures accurate attendance records and reporting.
