How Do I Assign Staff to an Already Existing Shift Template?

Once a shift template has been created, the next step is to assign staff to the duties within that shift. In SchedulePop, there are two primary ways to populate staff into an existing shift template, depending on how you prefer to build your schedule. You can either assign staff directly within the shift template or schedule staff from the Staff View and attach them to the template shift.

 

Option 1: Add Staff Directly in Shift View

This method allows you to populate staff directly inside the shift template where the duties and staffing quantities are defined.

Tip: This workflow is also available in Day View and Timeline View if you prefer working with a single-day schedule view.

Steps

  1. Navigate to Shift View.

  2. Locate the shift in the shift template you want to populate.

  3. Click the shift card to open the shift details.

  4. Scroll down to the duty that you want to fill.

  5. Click the person icon next to the duty to open the Staffing Modal.

  6. In the Available Staff grid, click the + icon next to a staff member to assign them to the shift.

    • The staff member will move from the Available grid to the Staffed grid.

  7. Continue adding staff until the duty has been filled.

  8. Click Done to close the Staffing Modal.

  9. Select another duty to fill OR Click Done to close the Shift Information Modal.

The assigned staff members will now appear in the expanded shift card.

Option 2: Assign Staff Using Staff View

You can also assign staff to shift templates from Staff View. This approach is useful if you prefer to schedule one employee at a time.

You may also use Monthly View if you want to assign shifts month-by-month for individual staff members.

Steps

  1. Navigate to Staff View.

  2. Identify the shift that the staff member should be assigned to.

    Make sure the following details match the template:

    • Shift name

    • Shift time

    • Zone

    • Duty

  3. Scroll to the staff member you want to schedule.

  4. Click the + icon in the appropriate day cell.

  5. Click the shift dropdown and select the correct shift template.

  6. Once more Confirm that the shift details match the template.

  7. Click Add Shift.

The staff member will now appear on the schedule for that shift on Staff View as well as inside the shift template on Shift View.

Once you assign the shift to one user, you can easily copy that shift to other eligible staff members using the copy and paste tools in Staff View.

Tip:
Using Shift View is often the fastest way to fill multiple duties within a shift, while Staff View is helpful when scheduling one employee across multiple days.
