How Do I Copy and Paste Shifts or Schedules on the Schedule Page?

The Schedule Page provides multiple ways to quickly copy and paste shifts — whether you need to duplicate a single shift, copy an entire day, reuse one employee’s schedule, or copy across a flexible date range. This article outlines each option and when to use it.

 

 

First, before familiarizing with the copy and paste functionality in SchedulePop, make sure that you have a full understanding of the various definitions of shift in the system. The label "shift" is used in all our scheduling views but in some cases they act as "assigned shifts" (Staff View and Monthly View) and other times they act as "shell shifts" (Shift View and Day View). Option 1: Copy a Single Shift (available on Staff and Shift View)

Best for: Quickly duplicating one shift to another day or staff member.

How to Copy a Single Shift

  1. Navigate to the Schedule Page

    1. Select Staff View or Monthly View to copy a single assigned shift 
    2. Select Shift View to copy a single unassigned shift ("shell shift")
  2. Locate the shift you want to copy

  3. Hover over the shift card to expose the copy function

  4. Click the Copy icon (double document icon)

  5. Navigate to the desired date or date and staff member.

  6. Paste the shift by clicking on the exposed paste icon (double document icon)

    1. Note: the paste icon will ONLY show on dates and or user cells that do not have a conflict and/or are eligible for the shift.
  7. Save and publish changes if necessary

When to Use This

  • Repeating a shift for a specific employee

  • Filling a gap with the same shift details

  • Making quick schedule adjustments

Option 2: Copy a Daily Schedule (Shortcut in Staff view) 

Best for: Duplicating all shifts from one day to another day.

How to Copy a Daily Schedule

  1. Navigate to the date you want to copy from in Staff View

  2. Click the Copy Day icon (located in the day header upon hover)

  3. Select the destination date in the modal

    1. Check to make sure the modal settings are correct
  4. Confirm the copy action

  5. Review and publish changes

When to Use This

  • Repeating weekend staffing patterns

  • Replicating holiday schedules

  • Quickly building out future weeks

Option 3: Copy a User’s Schedule (Staff View Only)

Best for: Repeating a single employee’s shifts over another time period or to the same time period to a different user.

How to Copy a User’s Schedule

  1. Go to Staff View

  2. Locate the employee whose schedule you want to copy

  3. Use the copy option in the action menu of the user cell (3 vertical dots)

  4. Select the destination date or date range

    1. Check to make sure the modal settings are correct
  5. You can paste to any number of eligible users.
  1. Confirm and save

When to Use This

  • Repeating a consistent weekly pattern

  • Maintaining rotating schedules

  • Extending an employee’s established schedule

Option 4: Copy Flexible Date Ranges (available on Staff and Shift View)

Best for: Copying shifts across multiple days, weeks, or custom time frames.

How to Copy Using Flexible Date Ranges

  1. Click on the main the copy function (upper right) from Staff of Shift View 

  2. Choose:

    • Source date range

    • Destination date range

  3. Confirm whether shifts should overwrite or merge

    1. Check to make sure all modal settings are correct
  4. Review and save changes

When to Use This

  • Copying an entire week to the next week

  • Copying weeks to future weeks 
  • Building schedules several weeks in advance

  • Creating structured rotation patterns

After copying shifts:

  • Confirm correct staff assignments

  • Check for overtime or compliance conflicts

  • Review open shifts

  • Publish changes so staff can see updates
