How do I print a staff schedule for 1 week, 4 weeks and 1 month?

SchedulePop allows managers to print staff schedules directly from the Schedule Tab. Depending on the time range you want to view, you can generate schedules for one week, one month, or a 4-week period. This article explains how to access the print function and customize your schedule before printing.

 

Step 1: Open the Print Menu

  1. Navigate to the Schedule Tab/Staff View or Shift View.

  2. Locate and click the Print icon in the upper right corner above the schedule grid.

     

Step 2: Select the Schedule Type

You will see 3 schedule report options depending on the time range you want to print.

Schedule

  • Prints the staff schedule for one week.

Schedule (Month)

  • Prints the staff schedule for one full calendar month.

  • Note: You may also print a Monthly report for an Individual User on the Monthly Schedule Tab

Schedule (4 Weeks)

  • Prints the staff schedule for a four-week period.

Step 3: Choose Your Date Range

Each schedule type allows you to select the appropriate date range.

  • Schedule – Defaults to the current week

  • Schedule (Month) – Defaults to the current month starting on the 1st

  • Schedule (4 Weeks) – Defaults to the current four-week period starting on the 1st day of the current week

You can adjust the dates within the allowed time range before printing.

Step 4: Filter the Schedule Content

You can refine the schedule by selecting which information to include.

  • Zones

    • Choose which zones to include in the printed schedule.

    • Default: All zones selected.

  • Duties

    • Choose which duties should appear in the printed schedule

    • Default: All duties selected.

Step 5: Additional Display Options

Depending on the schedule type, you may have additional display settings.

For Schedule (Month) and Schedule (4 Weeks)

Choose how shift information should appear:

  • Display as Time Range
    Example: 9a–5p

  • Display as Hours
    Example: 8

For Schedule (Weekly)

You can choose to include or exclude:

  • Notes and Assignments

  • Unscheduled Users with Approved Time Off

Step 6: Choose How the Schedule Is Organized

You can control how the schedule is grouped when printed.

Print Layout Options:

  • One Combined Schedule (Default)

  • Separate Schedules per Zone

  • Separate Schedules per User

Divide Schedule by Duty

Checking Divide Schedule by Duty will organize the schedule so staff members are grouped duty by duty.

Step 7: Select the Staff Sort Order

Choose how staff names should appear in the printed schedule:

  • Schedule Sort Order (Default)

  • Last Name, First Name

  • First Name, Last Name

Step 8: Select Output Format

Choose the file format for the printed schedule:

  • PDF (Default)

  • HTML

PDF is recommended when sharing or printing official copies.

Step 9: Choose Page Orientation

For the Weekly Schedule option, you can select page orientation:

  • Portrait (Default)

  • Landscape

Landscape orientation can be helpful when printing schedules with more staff or shifts. NOTE: Schedule (4 Weeks) and Schedule (Month) both print in landscape orientation to fit the large number of days on one sheet.

Step 10: Generate the Schedule

Once you are satisfied with your selections:

  1. Review your settings in the Print Modal.

  2. Click Print.

Your schedule will then be generated in the selected format.
