How do I use Day View to Manage my Schedule?

Day View shows all shifts, duties, and staff for a single day in one grid. You can use it to review staffing, edit shifts, and move people quickly to name a few.

 

Step by Step Instructions to navigate Day View

1. Access Day View

You can open Day View in a few ways:

  • Schedule submenu or Schedule page menu:
    Go to Schedule > Day View (opens on today) or use the menu in the upper left and select Day View.

  • From other views:
    In Staff View, Shift View, or Monthly View, click any date to jump straight into Day View.

2. Navigate Dates

  • Use left/right arrows to move to previous or future days.

  • Use the calendar icon to jump to any date.

  • Click Today to return to the current date.

3. Layout at a Glance

  • Left column: Displays all shifts for the day, in chronological order.

  • Consequent columns: Duties and the users assigned to each duty and shift

  • If there are many duties for the given day, use horizontal arrows to scroll right and left.

4. Editing Shifts & Schedule Users

Edit a shift

  • Click the shift card in the left column, edit and save.

  • To delete a shift, hover over the shift card and click on the garbage can icon. 

Add or move users

  • Click an empty duty slot to add a user to that duty and shift.

  • To move someone, drag and drop their name to another eligible slot.

  • The system blocks:

    • Duties the user is not eligible for

    • Conflicting shifts or time ranges

5. Filters, Sorting & Alerts

  • Filter by zones, duties, or both to narrow down what you see.

  • Sort A → Z or Z → A (where applicable).

  • Toggle collapsed or expanded shift cards for more or less detail.

  • Click the red triangle to show staffing alerts; any shift with an alert is highlighted. Alerts include: 

    • Under/Over Staffing 

    • Overtime

    • Shift Requested 

    • Certification error (incomplete or expired)

    • Unpublished shift (red arrow) 

6. Data Bar 

  • The Data bar is accessible on Day View- Note that it will display data for the entire week.

7. Publish and Notify Staff of Open Shifts for the Day: 

  • Select Publish Available Shifts to notify available and eligible staff of open shifts.
  • Select Publish Schedule to notify staff of their assigned shifts (removes red arrows)
