How do census updates work in SchedulePop?

With and Without PointClickCare (PCC) Integration

Census represents the number of residents or patients occupying your facility at a given time. In SchedulePop, census plays a critical role in staffing visibility, HPPD planning, and operational decision-making. How census data is populated and maintained depends on whether your location has a PointClickCare (PCC) integration enabled.

This article explains how census works in both scenarios and how manual updates behave across past, present, and future dates.

Census With PointClickCare (PCC) Integration

If your location is integrated with PointClickCare:

  • Census data is automatically pulled from PCC into SchedulePop

    • Typically refreshed twice every 24 hours
  • This data appears in the Data Bar/ Census and HPPD Category on the Schedule page

Real-Time Census Pull

As a manager, you also have the option to manually trigger a real-time census pull from PCC directly from the Data Bar on the Schedule page.

This allows you to:

  • Instantly refresh census numbers for the current date

  • Use the most current resident data available

  • Avoid manual entry whenever possible

Important Note:
Real-time census pulls are only available when a PCC integration is enabled.

Census Without PointClickCare (PCC) Integration

If your location does not have a PCC integration:

  • Census values must be entered and maintained manually

  • Census is still managed from the Data Bar/ Census and HPPD Category on the Schedule page

  • Manual updates work the same way as they do for integrated locations

Even without PCC, SchedulePop allows you to accurately plan staffing by manually setting census values for past, current, and future dates.

Manually Updating Census (All Locations)

Manual census updates can be made whether or not your location uses PCC. How those updates behave depends on the date you are editing.

Updating Census for a Past Date

  • The update applies only to that single day

  • No future dates are affected

This is useful for correcting historical data or audits.

Updating Census for the Current or a Future Date

  • The update applies to:

    • The selected day and

    • All future days until one of the following occurs:

      • The end of your HPPD planning period (as set on the HPPD page), or

      • Another manual census update overrides it on a later date

This allows you to efficiently plan ahead without needing to enter census values day by day.
