How does shift sync work in Schedule Pop?

Important: A User Sync Integration must already be enabled between the two systems before a Shift Sync Integration can function.

Main Idea

Schedule once → systems stay aligned

When a shift is created or updated in SchedulePop, that information is automatically shared with the connected time clock system. This ensures staff clock in and out against the correct shift and payroll receives accurate data.

What Information Is Shared?

While details can vary depending on the integration, Shift Sync Integrations typically share:

• Location

• Shift date

• Start and end times

• Assigned employee

• Duties (only if approved by integration partner)

•  Zones (only if approved by integration partner)

This ensures the same shift exists consistently in both systems.

Why Shift Sync Integrations are Helpful?

Without a Shift Sync Integration:

• Managers create schedules in one system 

• Staff clock time in another

• Payroll must manually reconcile discrepancies

With a Shift Sync Integration:

• Compare scheduling data with punch data (Clock in and Clock out data)

• No duplicate data entry

Understanding the “Source of Truth”

Every integration has a source of truth—the system that takes priority if there’s a conflict.

• SchedulePop is the source of truth for shift details

• The time clock system is the source of truth for actual hours worked

This means:

• Shift changes should be made in SchedulePop

• Clock-in and clock-out times come from the time clock system 

Workflow:

1. A manager adds or edits a shift in SchedulePop

2. The update is sent to the time clock system

3. Staff see the correct shift when clocking in

4. Payroll receives accurate, aligned data

These updates occur automatically in real time
