What is the Daily Staff Deployment Report?

The Daily Staff Deployment Report provides a clear, printable view of who is scheduled to work, which standard shift they are working, and what duty they are assigned to—all in a single report. This report is ideal for daily staffing reviews, on-site reference, audits, and leadership visibility. It eliminates the need to print multiple schedules or manually reconcile duties and shifts.

 

Please note: This report is designed for schedules that follow standard shift times (please see the explanation on Standard Shifts below in the article). If your shifts vary significantly, the report may not accurately reflect staffing.

Where to Find the Report:

  1. Navigate to the Schedule page in SchedulePop

  2. Open the Printable menu

  3. Select Daily Staff Deployment from the drop down

  4. Set your print preferences

What the Report Displays:

At the top of the report, you’ll see:

  • Location name

  • Selected date

This ensures the report is clearly tied to the correct facility and day.

Report Layout

The report is organized into three main columns:

  • Shift

  • Staff

  • Hour Totals (if selected in the Print Preferences)

Standard Shifts

The report is divided into three predefined standard shifts:

  • Day: 7:00 AM – 3:00 PM

  • Evening: 3:00 PM – 11:00 PM

  • Night: 11:00 PM – 7:00 AM

Each shift appears as its own section in the report.

Staff members are displayed under the shift/shifts during which they are scheduled to work.

Staff and Duty Display

  • Staff members are grouped by duty within each shift

  • Duties are visually separated and sorted alphabetically for easy scanning

  • Staff appear directly under the duty they are assigned to

Non-Standard Shift Times

If a staff member does not work the exact standard shift start or end time:

  • Their actual start and end time is displayed

  • These times are bolded to stand out

Notes and Assignments

If selected when generating the report:

  • Notes or assignments entered on the schedule will display under each staff member’s name- This is typically used to display Units/Rooms.

Hour Totals

  • Total hours by duty are displayed for each standard shift

  • Grand totals are summarized at the bottom of the report

This provides a quick way to review coverage and workload distribution.

Long Shift Handling (10+ Hours)

When a staff member is scheduled to work 10 or more hours:

  • They may appear in more than one standard shift

  • Their name and shift time are bolded

  • Only the hours that fall within each standard shift are counted toward that shift’s totals

Short Shift Handling (Less than 10 Hours)

When a staff member is scheduled to work less than 10 hours:

  • They will appear in the standard shift where they work the most hours

  • If a staff member works an equal number of hours across two shifts, they will appear in the earlier shift.

  • The hours are included in the standard shift totals for the shift in which the staff member is listed.

When generating the Daily Staff Deployment Report, you can customize it using the following options:

  • Separate by Zone

  • Filter by Zones

  • Filter by Duties

  • Show or hide Notes / Assignments

  • Show or hide Totals

  • Export as HTML or PDF
