How do I set and access my daily staff posting/BIPA report?

SchedulePop supports three versions of the Daily BIPA (Staffing) Report to meet varying state and facility reporting requirements. You can choose which version your location will use directly in your Location Settings.

To Set Up Your Preferred BIPA Report:

  1. Navigate to Location Settings.

  2. Select the Information tab.

  3. Scroll to the Schedule Rules section.

  4. Under BIPA Report Version, use the dropdown to select one of the following options:

    • BIPA Version 2003

    • BIPA Version 2005

    • BIPA Version 2021

  5. Click Save Changes to apply your selection.

Understanding the BIPA Report Versions

All BIPA Reports include:

  • Location Name

  • Account Name

  • Selected Date Stamp

  • Census Data (if Nursing Tools are enabled)

Below are the differences between each version:

 BIPA Version 2003:

  • Displays two grids based on CMS Labor Codes:

    • Licensed Staff

    • Unlicensed Staff

  • Each grid includes three fixed shifts:

    • 1st Shift: 7:00 AM – 3:00 PM

    • 2nd Shift: 3:00 PM – 11:00 PM

    • 3rd Shift: 11:00 PM – 7:00 AM

  • Scheduled hours are automatically distributed across the three shifts based on actual shift times.
    Example:
    Lisa works 11:00 AM – 11:30 PM as a CNA.

    • 4 hours count toward the 1st Shift

    • 8 hours toward the 2nd Shift

    • 0.5 hours toward the 3rd Shift

BIPA Version 2005:

  • Includes licensed staff only.

  • Mirrors the exact shift times as they appear on the schedule.

  • Displays CMS Job Names scheduled for each shift and total staffing numbers

  • Displays the sum total staffing numbers for each labor code for the entire day.

 BIPA Version 2021:

  • Same format as BIPA 2005, but adds:

    • A “Total Hours by Job Code” column, summarizing total hours worked per job code within each shift and the sum total of all hours worked per labor code for the entire day.


Best Practice Tip

If your facility must align with a specific state or CMS reporting format, confirm which version is accepted by your compliance department before setting your default.
